Webdroid, LLC and Webdroid Alliance (collectively, “Webdroid,” “we,” “us,” or “our”) respect your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit our website, make a reservation or purchase, create an account, register for an event or educational program, join an email or text-message list, visit our facility, or otherwise interact with Webdroid.

Our guiding commitment is simple: Webdroid does not sell or rent your personal information. We do not use personal information for unlawful, deceptive, exploitative, or otherwise improper purposes. We use it only to operate, protect, evaluate, and improve Webdroid and to provide experiences, programs, products, services, and communications connected to Webdroid.

1. Information We Collect

Depending on how you interact with Webdroid, we may collect the following categories of information:

Information you provide directly

  • Contact information, such as your name, email address, telephone number, mailing address, or emergency contact information.
  • Account and profile information, such as a username, membership information, gaming preferences, account history, or age range.
  • Reservation, event, and program information, such as the event selected, attendance dates, school or organization, age or grade range, registration responses, accessibility requests, dietary restrictions, parental or guardian information, and program participation records.
  • Purchase and transaction information, such as items or services purchased, payment status, discounts, refunds, and transaction history. Payment-card information is generally collected and processed directly by our payment processors rather than stored by Webdroid.
  • Communications, including messages, customer-service inquiries, survey responses, contest entries, reviews, and other information you choose to provide.
  • Marketing preferences, including whether you have agreed to receive email or text-message communications and whether you later unsubscribe or withdraw consent.
  • Photos, video, or media, when you voluntarily submit media or when Webdroid obtains any consent required for event or promotional photography.

Please avoid submitting highly sensitive information unless Webdroid specifically requests it and it is reasonably necessary for the service or program involved.

Information collected automatically

When you use our website or digital services, we and our service providers may automatically collect:

  • Internet Protocol address;
  • Browser, device, and operating-system information;
  • Pages viewed, links selected, approximate visit times, referring pages, and interactions with our website;
  • Cookie identifiers and similar technical information; and
  • Diagnostic, security, and performance information.

We use this information to operate the website, remember preferences, understand how visitors use our services, measure performance, prevent fraud, and improve the Webdroid experience.

Information from other sources

We may receive information from parents or guardians, schools, community organizations, event partners, registration platforms, payment processors, marketing platforms, and other service providers when necessary to operate a Webdroid service or program. We may combine that information with information you provide directly.

2. How We Use Information

Webdroid may use personal information to:

  • Create and manage customer, member, participant, or gaming profiles;
  • Process reservations, registrations, purchases, refunds, and donations;
  • Operate esports, gaming, educational, youth, community, and private-event experiences;
  • Communicate about reservations, purchases, schedule changes, safety information, programs, events, and customer support;
  • Send marketing emails or text messages when permitted by law and consistent with your choices;
  • Personalize recommendations and improve services, programs, website content, and in-store experiences;
  • Measure attendance, program performance, engagement, and community impact;
  • Maintain the safety, integrity, security, and reliability of our facility, systems, accounts, and services;
  • Detect and prevent fraud, abuse, security incidents, and violations of our rules;
  • Meet contractual, accounting, tax, grant-reporting, insurance, and legal obligations; and
  • Establish, exercise, or defend legal claims.

Webdroid will not use personal information for materially unrelated purposes without providing appropriate notice and obtaining consent when required.

3. Our No-Sale and Responsible-Use Commitment

Webdroid does not sell, rent, or trade personal information, contact lists, email addresses, telephone numbers, or customer profiles to data brokers, advertisers, or other third parties for their independent marketing purposes.

Webdroid also does not:

  • Permit third parties to use personal information for unlawful or deceptive purposes;
  • Use personal information to discriminate unlawfully, manipulate, exploit, or intentionally harm individuals;
  • Share youth information for targeted advertising; or
  • Share SMS opt-in information or consent status with third parties for purposes unrelated to providing Webdroid’s messaging program.

This commitment does not prevent Webdroid from using carefully selected service providers that process information only as needed to perform services for us, as described below.

4. When We Disclose Information

We may disclose personal information in the following limited circumstances:

Service providers

We may provide information to vendors that help us operate Webdroid, such as website-hosting, analytics, reservation, customer-management, email, text-messaging, payment-processing, information-technology, security, accounting, and program-administration providers. These providers may use the information only to provide contracted services to Webdroid or as otherwise permitted by law.

Examples may include Webflow for website services, Klaviyo for email or SMS communications, payment processors such as Stripe or Square, and reservation, gaming-management, or event-registration platforms. Each provider processes information under its own terms and privacy obligations.

Program and event partners

When a program or event is operated with a school, sponsor, instructor, funder, community organization, or venue partner, we may disclose only the information reasonably necessary to administer the program, verify eligibility, provide accommodations, document participation, or meet agreed reporting requirements. We do not authorize partners to use participant information for unrelated marketing.

Legal, safety, and security reasons

We may disclose information when reasonably necessary to comply with law, a court order, legal process, insurance requirements, or a lawful government request; to protect the rights, safety, and property of Webdroid, our users, participants, employees, or the public; or to investigate fraud, misconduct, or security threats.

Organizational transactions

If Webdroid is involved in a merger, financing, reorganization, sale of assets, or similar organizational transaction, information may be transferred as part of that transaction. Any successor will be expected to honor this Privacy Policy or provide notice before materially changing how previously collected information is used.

With your direction or consent

We may disclose information when you direct us to do so or provide consent.

5. Email and Text-Message Communications

If you subscribe to Webdroid communications, we may send information about reservations, programs, events, promotions, schedule changes, store updates, and other Webdroid offerings.

Email

You can unsubscribe from marketing emails by using the unsubscribe link included in the message. Even after unsubscribing from marketing, you may still receive non-marketing communications related to an active reservation, purchase, account, program, safety issue, or legal notice.

SMS/text messaging

If you affirmatively opt in, Webdroid may send recurring automated or non-automated text messages concerning Webdroid events, programs, promotions, reservations, and store updates. Message frequency may vary. Message and data rates may apply. Consent to receive marketing text messages is not a condition of purchasing goods or services.

You may reply STOP to unsubscribe and HELP for help. We may send a final confirmation message after an opt-out request. Additional instructions may appear in the applicable sign-up form or Mobile Terms.

We will not sell, rent, or share your telephone number, SMS opt-in information, or SMS consent status with any third party for purposes unrelated to providing Webdroid’s messaging program. We may provide this information to service providers that help deliver or support our messages, including messaging platforms, telecommunications providers, and vendors acting on Webdroid’s behalf.

6. Cookies and Similar Technologies

Webdroid and its service providers may use cookies, pixels, tags, local storage, and similar technologies to keep the website functioning, remember preferences, understand website use, measure communications, improve performance, and protect against fraud or abuse.

You may be able to manage cookies through your browser settings or a cookie-preference tool made available on our website. Disabling certain cookies may affect website functionality. If we use technology to support cart or reservation reminders, we may use cookies or similar tools to recognize an incomplete transaction and, where legally permitted, send a reminder through a communication channel to which you have consented.

7. Payment Information

Payments may be processed by third-party payment processors. Webdroid generally does not receive or store complete payment-card numbers or card-security codes. Payment processors may collect and use information according to their own privacy policies and legal obligations.

8. Children’s and Youth Privacy

Webdroid offers programs that serve teenagers and young adults, but our website and general online services are not directed to children under 13. We do not knowingly collect personal information online directly from a child under 13 without verifiable consent from a parent or legal guardian when required by the Children’s Online Privacy Protection Act.

If a child under 13 participates in an eligible Webdroid program, relevant information should be provided by or with the authorization of a parent, guardian, school, or authorized community partner. We collect only information reasonably necessary to administer the program, protect participants, communicate with authorized adults, and meet legal or program obligations.

If you believe a child under 13 has submitted personal information to Webdroid without appropriate authorization, contact us at contact@webdroid.online. We will review the request and delete the information when required.

For participants under 18, Webdroid may require parental or guardian authorization for particular accounts, programs, releases, purchases, communications, or activities.

9. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including providing services, maintaining business and program records, satisfying grant or contractual reporting requirements, resolving disputes, enforcing agreements, preventing fraud, and complying with legal, tax, accounting, and insurance obligations.

Retention periods vary based on the type of information and the reason it was collected. When information is no longer reasonably needed, we may delete, de-identify, or securely dispose of it.

10. Data Security and Breach Response

Webdroid uses reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. These measures may include access controls, account-security practices, staff procedures, vendor management, and secure payment processing.

No system or transmission method can be guaranteed to be completely secure. If Webdroid discovers a security breach affecting personal information, we will investigate, take reasonable steps to contain and remediate the incident, and provide legally required notices consistent with the Michigan Identity Theft Protection Act and other applicable law.

11. Your Choices and Requests

Subject to applicable law and reasonable verification, you may ask Webdroid to:

  • Provide information about the personal information we maintain about you;
  • Correct inaccurate information;
  • Delete information that is no longer necessary, subject to legal and operational exceptions;
  • Withdraw marketing consent;
  • Unsubscribe from email or text communications; or
  • Ask questions about how your information is used or disclosed.

Submit a request to contact@webdroid.online. We may need to verify your identity or authority before completing a request. A parent or legal guardian may submit an appropriate request concerning a minor.

12. Third-Party Websites and Services

Our website may link to services operated by payment processors, gaming platforms, social-media services, event-registration providers, sponsors, or other third parties. Webdroid does not control their independent privacy practices. Review the privacy policy of any third-party service before providing information.

13. Changes to This Privacy Policy

We may update this Privacy Policy as Webdroid’s services, technology, vendors, or legal obligations change. We will post the updated version with a revised “Last updated” date. If a change materially affects how we use previously collected personal information, we will provide additional notice or request consent when required by law.
